AI Listing Copy

AI Listing Copy lets your staff draft and refine buyer-facing listing text from the facts already entered on a listing: title suggestions, descriptions, meta and social copy, translations into your other storefront languages, and facts pulled from listing photos and documents. Every draft is shown as a preview first. Nothing reaches a listing until a member of staff chooses to apply it, and drafts that appear to make claims the listing's facts do not support are blocked from being applied.

This guide covers the settings on Settings → Business Settings, Experience tab, AI Listing Copy, and how staff use the AI Assist menu when editing a listing.

Before you start

• Changing the AI Listing Copy settings needs the manage tenant settings permission.
• Using AI Assist on a listing needs access to Sell → Listings and permission to edit listings.
• The feature needs an OpenAI API key. You can add your own, or use a platform key if Babylon has configured one for your account. The Connection Status line tells you which applies.

Switching it on

1. Go to Settings → Business Settings and open the Experience tab.
2. Expand AI Listing Copy.
3. Turn on Enable AI Listing Copy. It is off by default.
4. Check Connection Status (see below) and add a key if needed.
5. Set your defaults and house rules.
6. Click Save Settings at the bottom of the page.

Until the feature is switched on and saved, the AI Assist menu does not appear on listings.

Connection status and your OpenAI key

Connection Status shows one of three states:

• Using a tenant-owned OpenAI key (••••1234). Your own key is stored and is used for every generation. The last four characters are shown so you can tell which key it is.
• No tenant key is stored. Listing copy generation will use the platform fallback OpenAI key. Babylon's platform key is in use.
• No usable OpenAI credentials are configured. Generation is unavailable until you add a key, or until Babylon configures a platform key for you.

Your own key or the platform key

Your own key always takes priority over the platform key. Use your own key if you want generation billed to your own OpenAI account, or if no platform key is available. Otherwise you can leave the key field blank and rely on the platform key. Whether a platform key is available, and on what terms, depends on your agreement with Hammerd: contact Hammerd support if you are unsure.

Adding or replacing your key

1. Create an API key in your OpenAI account. It starts with sk-.
2. Paste it into OpenAI API Key. The field is masked. You can reveal it to check what you pasted.
3. Click Save Settings.

After saving, the field goes blank again. This is deliberate: the stored key is never shown back to you. To replace it, paste a new key and save. To keep the current key, leave the field blank.

Testing a key

Click Test Connection beside the OpenAI API Key field. In the dialog, API Key To Test is optional:

• Leave it blank to test the key that is currently in use (your stored key, or the platform key).
• Paste a key (for example sk-...) to test it before saving. The pasted key is only used for this test.

Click Test Connection in the dialog. You see Listing copy AI connection succeeded or Listing copy AI connection failed, with details. If a pasted key passes, it is copied into the OpenAI API Key field for you, and the message tells you to save Business Settings to keep it. It is not stored until you click Save Settings.

Removing your key

When a key of your own is stored, a Clear stored tenant OpenAI key toggle appears. Turn it on and click Save Settings. Your key is deleted and generation falls back to the platform key, if one is configured. If no platform key is configured, AI Listing Copy stops working until you add a key again.

Defaults and house rules

These fields appear once Enable AI Listing Copy is on. They apply to every member of staff.

Default Tone

The tone each AI Assist tool starts with, except Make More Premium, which always starts at Premium, and Make More Factual, which always starts at Neutral. Staff can change it for an individual draft.

• Neutral (the default): plain, even-handed description.
• Premium: a more elevated catalogue style.
• Collector Focused: emphasises the details collectors look for.
• Marketplace Simple: short, straightforward marketplace copy.

Default Length

Short, Standard (the default) or Long. This is the starting length for drafted descriptions. The Shorten Description tool always starts at Short regardless.

Required Disclaimers

Add each disclaimer as a separate entry, pressing Enter or Tab after each one. Every entry is added to the end of each drafted description, so your standard wording (for example about buyers inspecting items themselves) is never left out. Leave this empty if you do not need it.

Banned Phrases

Add words or phrases you never want in your listings, one per entry. Generated copy that contains them has them stripped or flagged. Use this for claims you do not make, or wording that conflicts with your terms.

Max Generations Per Hour

A limit on how many AI generations each member of staff can run in an hour, from 1 to 500. Leave it blank to use the platform-wide limit. When someone reaches the limit, the preview tells them and they need to wait before generating again. Set a limit if you use your own key and want to control spend.

Using AI Assist on a listing

Open a listing in Sell → Listings (or create one). In the Description section, click AI Assist. The menu contains:

• Suggest Title: proposes titles from the facts on the form. Choose one under Suggested Titles and click Use Selected Title, or Regenerate Suggestions for more.
• Draft Description: writes a new description from the facts on the form.
• Improve Description: tightens the current description without adding unsupported claims.
• Shorten Description: condenses the current description while keeping the key facts.
• Make More Premium: rewrites the current description in a more elevated tone.
• Make More Factual: rewrites the current description in a more direct, fact-first style.
• Meta & Social: drafts a Meta Title, Meta Description and Social Teaser. You can apply the meta title as the listing title with Use Meta Title as Listing Title. Copy the other fields to wherever you need them.
• Locale Variant: translates the title and description from a Source Locale into a Target Locale. Only your storefront's supported languages are offered.
• Extract Media Facts: reads the listing's processed photos and PDF documents and lists candidate facts for you to review. Pick the files under Media to Review. This needs a saved listing with at least one processed photo or document.

Improve, Shorten, Make More Premium and Make More Factual only appear once the description field has some text in it.

Reviewing and applying a draft

Each tool opens a preview with the tone (and, for descriptions, the length) preselected, normally from your defaults. Change them and click Regenerate Draft (or the equivalent regenerate button) to try again.

When you are happy with a description draft, choose:

• Append Below to add it after the existing description.
• Replace Description to replace the existing description.

For a locale variant, Replace Title & Description overwrites the listing's current title and description with the translation. Only use this if you intend the listing to be in the target language.

Applying a draft only changes the form. Nothing is published until you save the listing in the normal way. Read every draft before you save it: you remain responsible for what your listings say.

When a draft cannot be applied

The preview checks each draft against the facts on the listing and warns you about problems. Some warnings block the draft from being applied, for example when it appears to:

• claim authenticity, provenance, a condition grade, dimensions or shipping terms that are not in the listing's facts
• make an unsupported quality superlative
• leave out known condition issues or damage
• mention prices or amounts, which AI copy is never allowed to include
• (for a locale variant) drop required facts, or fail to translate

If a draft is blocked, add the missing facts to the listing and regenerate, or write that part yourself.

Troubleshooting and common questions

The AI Assist button is missing

Check that Enable AI Listing Copy is on and saved in Business Settings.

"OpenAI API key is not configured for this tenant"

No key is available. Add your own key in Business Settings → Experience → AI Listing Copy, or contact Hammerd support about a platform key.

"The saved tenant OpenAI API key was rejected by OpenAI"

Your stored key is no longer valid, for example because it was revoked or deleted in your OpenAI account. Paste a working key, test it, and save. If the message says the platform key was rejected, contact Hammerd support.

A preview says the AI provider is disabled and a fallback generator was used

AI generation is temporarily unavailable at platform level, so the preview came from a simpler built-in generator. Review it closely, or try again later. Contact Hammerd support if it persists.

Does the AI see information that is not on the listing?

It works from the facts entered on the listing form and, for Extract Media Facts, the photos and documents you select. It is designed not to add claims those facts do not support, which is why unsupported claims are flagged and blocked.
