Trade Programme
Run a dealer trade programme: invite and vet dealers, set dealer tiers, sell promotion placements, issue dealer statements and set programme policies.
The Trade Programme lets professional dealers trade on your marketplace on their own terms. You invite each dealer, check their business (KYB, "know your business"), assign them a dealer tier that sets their commission and allowances, and optionally sell them paid promotion placements and issue them periodic statements. Everything lives in the Trade Programme group in the sidebar.
Before you start
- The Trade Programme is a plan feature. Parts of it are licensed separately: the core programme (Overview, Trade Accounts, Dealer Tiers, Trade Programme Settings), Promotion Placements, Dealer Statements, and the accounting exports on statements. If a screen is missing or says it is not part of your plan, ask your account owner or contact Hammerd support. No change to your role will unlock a feature that is not on your plan.
- Permissions. Each screen has its own view and manage permissions. The Admin and Trade Programme Manager roles hold all of them. Trade Programme Settings has its own permission because it covers data sharing and privacy choices. See Team members and roles.
- Create a dealer tier first. Approving a dealer requires you to assign a tier, so with no tiers every application stays stuck at review.
Overview
Trade Programme → Overview shows programme-wide figures:
- Active dealers: trade accounts currently active.
- Onboarded this month: dealers whose KYB was approved this month.
- KYB pending: applications with documents submitted or under review.
- Trade GMV (30d): hammer value on dealer statements created in the last 30 days.
- Aging inventory items: dealer stock that has not moved in 30 days or more.
Dealer Tiers
Open Trade Programme → Dealer Tiers, then click New dealer tier (or Create the first tier if the list is empty). Each tier is a set of terms:
- Name and Sort order: tiers are listed in sort order. You can also drag rows in the list to reorder them.
- Monthly access fee (minor currency units, 0 = free): enter the amount in the smallest currency unit, so 5000 means 50.00.
- Listing allowance (blank = unlimited): the number of listings the tier intends to allow. This is recorded on the tier but not yet enforced as a hard limit, so do not rely on it to stop a dealer listing more.
- Commission rate override % (blank = tenant default): the seller commission dealers on this tier pay instead of your default rate. If the dealer also has a negotiated rate, or the lot's marketplace tier or authentication track sets a rate, the lowest of those applies. A rate set on an individual lot overrides all of them. Because this replaces your default, a rate above your default increases what dealers on the tier pay. See Fees, commission and sales models.
- Premium sale slot access: lets dealers on this tier enter lots into premium trade sale slots. You can also switch this on or off directly in the list.
The list shows how many Dealers are on each tier.
Trade Accounts
Trade Programme → Trade Accounts is your dealer roster. Each row shows the dealer's name, Tier, account status, KYB status, when they were Verified and when they Registered. You can filter by status, KYB status and tier.
Inviting a dealer
- Ask the dealer to register an ordinary marketplace account on your storefront first. The invite only works for an existing account.
- Click Invite Dealer.
- Enter the Dealer email address (it must match their marketplace account), Business / trading name, and optionally VAT number (optional) and Company registration number (optional).
- Submit. The trade account is created straight away with the status Pending KYB and a KYB status of Not Started.
If no account exists for that email, you will see No marketplace account found. If the person already belongs to a trade account on your marketplace, you will see Already a Trade Account member.
Reviewing KYB
The dealer submits their business documents from their side. Their KYB status then moves to Documents Submitted. Open the trade account to review it. The page shows Account Details, a KYB section (status, when it was reviewed, VAT and company registration numbers, and KYB Notes), and timestamps.
- Click Mark Under Review to move a Documents Submitted application into review. The dealer is not notified automatically.
- When the application is Under Review, choose one of the actions below.
- Approve KYB: pick a tier in Assign Tier (required) and add optional Review notes. The account becomes Active and is marked verified.
- Reject KYB: enter a Rejection reason (required). The dealer can submit again later.
- Request more documents: enter a Request message (sent to dealer). The application goes back to Documents Submitted. The message is saved as the account's KYB notes; Babylon does not currently email it, so contact the dealer yourself as well.
Use Request more documents from an application that is Under Review. Although the button also appears on an application that is only Documents Submitted, using it there is refused; mark it under review first.
Managing an active dealer
- Suspend: changes an Active account's status to Suspended.
- Reinstate: returns a Suspended account to Active.
- Change Tier: move the dealer to another tier with New Tier.
Statuses
Trade account status: Pending KYB, Active, Suspended or Closed.
KYB status: Not Started, Documents Submitted, Under Review, Approved or Rejected.
Promotion Placements
A promotion placement is paid visibility you sell to dealers. Open Trade Programme → Promotion Placements and click New promotion placement (or Create a placement if the list is empty). Nothing is on sale until at least one placement exists and is active.
- Placement type: Browse Boost (above organic results in category browse), Search Spotlight (a sponsored position in search), Featured Listing (the homepage featured section) or Featured Dealer (a homepage or category spotlight).
- Name: what dealers see.
- Available slots: how many can be sold at once.
- Price per slot (minor currency units): in the smallest currency unit, so 2500 means 25.00.
- Price unit: Per day or Per campaign.
- Minimum duration days.
- Require tenant approval before promotion goes live: see the note below.
- Active: whether dealers can buy it.
- Eligible tiers: leave empty to offer it to all tiers, or choose specific tiers.
You can switch Approval and Active on or off directly in the list.
There is currently no screen in the admin panel for approving individual dealer promotions. If you switch on Require tenant approval before promotion goes live, dealer purchases will wait for an approval you cannot give yourself. Leave it off unless Hammerd support has set up approvals for you.
Dealer Statements
A statement is one dealer's trading period on one page: lots sold and unsold, hammer value, buyer's premium, seller commission, VAT and net payout, with a line for each lot. You issue it to the dealer, who then accepts or disputes it.
Open Trade Programme → Dealer Statements. Statements are drafted from settled sales for dealers on your roster, so there is nothing here until a dealer has traded through a completed period. If you expect statements and see none, contact Hammerd support.
Issuing and recording responses
- Open a Draft statement and click Issue, or select several drafts in the list and use Issue selected drafts. The statement becomes available to the dealer for acceptance or dispute. Babylon does not currently email the dealer when you issue, so let them know.
- If the dealer confirms the figures by phone or email rather than in their trade portal, open the statement and click Record Acceptance.
- If the dealer disputes the figures outside the portal, click Record Dispute and add Dispute notes.
Statuses are Draft, Issued, Accepted and Disputed.
Accounting exports
If accounting exports are part of your plan, each statement has Export to Xero and Export to QuickBooks, which download a CSV file in the right format for that package.
Trade Programme Settings
Trade Programme → Trade Programme Settings records what dealers are allowed to do. Some options have privacy and compliance implications, so review them carefully. Change the switches, then click Save settings.
In Buyer CRM Policies:
- Dealers can export follower / buyer contact details: off by default. Turning this on has data protection (GDPR) implications, so get a compliance review first.
- Dealers can message buyers post-sale (outside order thread): off by default. Only enable it if you are ready to handle buyer complaints.
- Dealers can run invite-only preview sales: on by default.
- Dealers can send second-chance offers: on by default. These go through Deal Rooms and follow their usual controls. See Auctions, offers and deal rooms.
In Pricing Intelligence:
- Comparable pricing data visible to dealers: on by default. Lets dealers see comparable hammer prices when setting reserves.
- Opt into cross-tenant pricing network: off by default. Contributes anonymised hammer data and receives comparables from other opted-in marketplaces. This needs a data contribution agreement with Hammerd before you switch it on.
In Storefront Visibility:
- Show Dealer Storefronts in marketplace browse: on by default. Adds an "All Dealers" section to marketplace browse.
These switches record your programme policy. Not every switch is yet enforced throughout the dealer tools. If you are relying on one of them for a legal or compliance reason, confirm the current behaviour with Hammerd support.
Common questions
The Approve KYB button is missing
Approve KYB only appears once the application is Under Review. Use Mark Under Review first. If you still cannot approve, check that at least one dealer tier exists.
Why do amounts show in pounds?
Some trade screens currently label amounts with a pound sign whatever currency you trade in. Contact Hammerd support if this affects you.
