Platform Billing and Subscription

See your Babylon subscription and invoices, pay an open invoice, and switch to a different plan.

Your account runs on a Babylon subscription plan. The plan decides which features are switched on across your admin console, what you pay, and when it renews. Hammerd bills you for it with invoices, which you can see and pay from the admin console.

This guide covers Settings → Subscriptions and Settings → Invoices. These screens are about what you pay Hammerd for the platform. They are not the invoices your buyers receive for their purchases; for those, see Orders, settlements and payouts.

Before you start

  • Settings → Subscriptions needs permission to manage business settings. The Admin and Finance Manager roles have it.
  • Settings → Invoices needs permission to view financial information. The Admin and Finance Manager roles have it.

If your role does not include the permission, the item is not shown in your sidebar. If you follow a link to it anyway, the screen explains that you do not have access and names the colleagues who can grant it. See Team members and roles.

Your subscription

Go to Settings → Subscriptions. Your account should always have exactly one subscription. The table shows:

  • Plan: the plan you are on.
  • Status: where the subscription is in its life (see below).
  • Billing cycle: Monthly or Annual.
  • Current period end: when the current billing period ends and the next one begins.

Select View on the row to see the full details: Subscription Details (plan, billing cycle and status), Billing Period (Period Start, Period End and, if you are on a trial, Trial Ends At) and the payment reference Babylon uses for your subscription. These fields are for reference only; you cannot edit them.

Subscription statuses

  • Trialing: you are in a trial period. Trial Ends At shows when it finishes.
  • Active: your subscription is running normally.
  • Past Due: a payment has not been received. Check Settings → Invoices for an open invoice and pay it.
  • Paused: billing is temporarily on hold.
  • Cancelled: the subscription has been cancelled.
  • Expired: the subscription has ended.

If the table is empty and shows "No subscription on record", your plan has not been attached to your account. Contact Hammerd support; they can attach it for you.

Switching to a different plan

You can move to a different plan yourself while your subscription is Active or Trialing.

  1. Go to Settings → Subscriptions and select Edit on your subscription.
  2. Select Switch Subscription at the top of the page.
  3. Choose a New Subscription Plan. Your current plan is not listed.
  4. Choose a New Billing Cycle, Monthly or Annual. It starts on your current cycle.
  5. Check the Cost Comparison. It shows your current plan and price, the new plan and price, and the Pro-rated Charge for Current Period.
  6. Read the warning, then select Confirm Switch.

The switch takes effect immediately. It creates a pro-rated invoice for the part of the current period you have already used, and updates your subscription charges and commission rates to those of the new plan. You see "Subscription Switched Successfully" when it is done. If something goes wrong you see "Failed to Switch Subscription" with the reason, and your plan is not changed.

Things to know before you switch:

  • Switch Subscription only appears while your subscription is Active or Trialing. For any other status, contact Hammerd support.
  • You must pick a different plan. To change only your billing cycle on the same plan, contact Hammerd support.
  • The plan field on the edit page itself cannot be changed. Always use Switch Subscription.
  • The features you can use depend on your plan. If a feature you expect is still shown as Not licensed after switching, contact Hammerd support.

Changes that are not self-service

Cancelling, pausing or resuming your subscription, and changing the card or payment method Babylon charges, cannot be done from the admin console. Contact Hammerd support for any of these.

Your invoices

Go to Settings → Invoices. Invoices are created automatically at the end of each billing cycle, and when you switch plans. Until your first billing period closes the list is empty and shows "No invoices yet"; that is expected.

The table shows each invoice's Invoice number, Status, Total, Amount Due and Due date. You can also show Paid at and Created at from the column options, and filter the list by Status.

Invoice statuses

  • Draft: still being prepared by Babylon. It cannot be downloaded until it is issued.
  • Open: issued and waiting for payment.
  • Paid: settled in full.
  • Void: cancelled by Babylon. Nothing is owed.
  • Uncollectible: Babylon has marked it as not expected to be paid.

Viewing and downloading an invoice

Select View on a row to see the invoice's details, including why it was raised (for example Subscription Cycle, Subscription Update or Usage), its currency, total and due date.

To get a copy, select Download Invoice, either on the invoice's page or from the More actions menu on its row. It opens in a new tab.

Paying an open invoice

If an invoice is Open and has not been paid, a Pay Invoice option appears on the invoice's page and in the More actions menu on its row.

  1. Select Pay Invoice. A secure payment page opens in a new tab.
  2. Follow the instructions on that page to pay.
  3. Return to Settings → Invoices. The status changes to Paid once the payment has been confirmed.

If Pay Invoice does not appear on an open invoice, it cannot be paid online. Contact Hammerd support to arrange payment.

You cannot create, edit or delete invoices yourself. If you think an invoice is wrong, contact Hammerd support.

Common questions

My subscription says Past Due

Open Settings → Invoices, find the Open invoice and use Pay Invoice. If there is no open invoice, or you cannot pay online, contact Hammerd support.

A colleague cannot see Invoices or Subscriptions

They need the Admin or Finance Manager role, or another role with the same permissions. See Team members and roles.

Download Invoice asks me to sign in again, or does not open

Make sure you are signed in to the admin console in the same browser, and that your browser allows new tabs to open from the console. If it still does not open, contact Hammerd support for a copy.

The invoice mentions "Babylon"

Babylon is the platform's former name. Some screens and documents still use it. It is the same product as Babylon.
